The Bidding Process

Beginning with the bidding process, we take the time to ensure that our bid is formatted to our customers’ needs in order to streamline their comparison process. In most cases, residential work is broken out by room so that end-users can easily choose the components that fit their budgets. We also include tentative schedules based on our customers’ scheduled completion dates.

Scope Review Meetings

Upon submission of the bid, we highly recommend a scope review meeting to ensure that everyone understands the work which we’ll be creating. Often, the drawings on which bids are based do not include sufficient detail to satisfy the end-users’ expectations, causing our estimators to make certain assumptions about how some items should be built.

In residential work, once the scope is defined, schedule and price can be agreed upon, and our proposal is signed and returned with a deposit. For commercial work, we request a letter of intent and a copy of the contract for review.

Project Management

ILEX Woodworking assigns a project manager to oversee the job from start to finish. The project manager schedules a meeting with the contractor and if possible, the end-user, to discuss the schedule, shop drawing, control samples, sample submittal dates and field dimension dates.

While our engineering department is drafting, the project manager prepares all product samples, MSDS sheets and wood finish samples, which are all submitted together with the shop drawings. The installation manager then sets up a site visit and takes accurate field dimensions.

After the shop drawings are reviewed and redlined by the architect, our estimator reviews the changes for any cost implications and forwards them to our engineering department for any necessary revisions.

Materials, Manufacturing and Installation

At this point, the project manager can begin the material purchasing process. Once materials are in the shop, parts are machined on our CNC machining center, CNC panel saw or in our mill and then moved to assembly, sanding and our state-of-the-art finishing department. When the finishes have cured, our products are carefully wrapped and scheduled for shipment to the site.

Our installation crews are on-site ready to accept delivery and begin installation. Upon installation, our ILEX WoodCare division is available to perform touch-ups and repair or administer yearly service contracts to ensure our customers’ woodworking looks beautiful for years to come.
